How to create a new mailing/distribution list in Outlook 2k3 from
members of the Global Address List
This guide makes several
assumptions that are listed below
- Microsoft Outlook
2003 is working properly
- The computer on
which these steps are being carried out is already on the internet
 
Click on the down-arrow
attached to the “New” button as highlighted in the picture above.
Then select “Distribution
List” from the menu
 
Give the Distribution List
a name.
To select members of the
list from the Global Address List, click on “Select Members
NB: The Global
Address List is the list of all email addresses hosted by the JBTETSU
   
To go to a particular name
in the current list you can type the name of the person you are looking
in the “Type Name or Select from List” textbox.
You can select multiple
persons by highlighting their names then clicking the “Members” button
to add them to your new distribution list.
To
narrow the search to a specific institution in the Global Address List,
click the “Advanced” button and select “Find…” from the menu list

Enter the search parameters then click “OK”
NB: The acronym for
each institution is used as the company name instead of the long name.
For example, Church
Teachers’ College is CTC, St. Joseph’s Teachers’ College is SJTC
 
The list now displays the
search results
 
After
selecting and adding members to your new distribution list it should
look something like that show above. You can now click the “Save and
Close” button to save your newly created distribution list.

The new distribution list
will be placed in your Contacts folder as shown
